Every meeting assistant advertises a headline number — unlimited transcription, 300 minutes, 5,000 minutes. In every case there is a second cap sitting behind it that decides whether the tool works for your team. That second number is what this page is about.

The short answer

Cheapest that actually works for a team: Fireflies.ai. The free tier really is unlimited transcription — the limit is 400 minutes of storage shared across the team.

If your calls run long: not Otter’s free or Pro plan. Free stops at 30 minutes per conversation and Pro at 90. Only Business reaches four hours.

Occasional use, no subscription: Sonix at $10 an hour, pay as you go.

When the transcript has to be right: Rev’s human transcription at $1.99 a minute. No AI tier on this page is a substitute for that.

Read the second number

Fireflies’ free plan is the most generous, and the most misunderstood. Transcription genuinely is unlimited. Storage is not: 400 minutes across the whole team, after which old recordings go. For a team that reads the summary the same week and never goes back, that is fine. For anyone who needs a searchable archive, it is a paid plan from day one.

Otter’s trap is the opposite. The monthly minute allowance looks generous, but the per-conversation ceiling is what you hit. A 45-minute standup is fine on Pro; a two-hour workshop is not, at any tier below Business.

Nobody on this page includes human transcription. If you need a transcript accurate enough for legal, medical or published use, that is Rev at $1.99 a minute on top of whatever you pay for AI notes.

The bottom line

For most remote teams the honest answer is Fireflies on the free plan until the 400-minute storage limit becomes annoying, then Fireflies Pro on annual billing at $10 a seat. Otter is the better tool if your calls are long and you are willing to pay Business prices for it. Everything else on this page is a specialist: Sonix if you would rather not subscribe at all, Rev when the transcript has to stand up to scrutiny, Descript when the recording is raw material you are going to edit rather than a meeting you want summarised.
